Senior Officer, HR Operations

Job Purpose

Senior Officer, HR Operations, will be responsible for ensuring a seamless and compliant separation process for Head Office staff, maintaining accurate documentation and records, and facilitating timely issuance of separation letters and final settlements. This role focuses on efficient contract management, addressing separation-related issues, and upholding organizational standards to support a smooth transition for departing employees while aligning with organizational objectives.

Key Responsibilities

  • Oversee resignation-related activities for Head Office staff, ensuring smooth communication with programs and departments to execute a flawless separation process.
  • Collect, verify, and maintain all separation-related documents, ensuring timely issuance of letters such as termination, retirement, and dismissal while complying with organizational policies and legal standards.
  • Ensure accurate calculation and processing of final settlements, including pending salary, leave encashment, gratuity, and other benefits, in collaboration with HR, Finance, and program teams.
  • Maintain accurate separation and final settlement data in the HRMS module and ensure proper documentation for future reference and audits.
  • Track contract expiry information, communicate updates to relevant teams, and prepare renewal letters while ensuring timely system updates and proper archiving of records.
  • Work closely with internal teams to address separation-related issues, resolve misconduct cases, and ensure alignment with organizational objectives.

SAFEGUARDING RESPONSIBILITIES

  • Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
  • Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
  • Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.

Additional Job Requirements

  • Proficiency in computer skills, including MS Word, Excel, PowerPoint, and Internet applications.
  • Strong communication and interpersonal skills for effective interaction and relationship building.
  • Expertise in conflict management to handle disputes effectively.
  • In-depth knowledge of HR concepts and practices.
  • High level of self-confidence with a positive, proactive mentality and self-motivation.

Educational Requirements

Graduation, preferably in HRM or any other relevant subject from any recognized university.

Experience Requirements

Minimum 1 year of working experience in relevant field
